How to schedule your next book club meeting
Give your group one clear availability question. This worked example is for a recurring book club, but the same steps work for a hobby group or neighborhood meetup.
Start with the constraints you already know
Before opening a poll, check when the host and venue can actually accommodate the group. Pick two to four realistic dates rather than asking members to design the whole calendar. If a key participant cannot attend a date, leave it out. Keep the book choice separate from the scheduling question.
Decide whether you are asking for a day or a time
For a local group with a usual start time, offer whole days and put the usual time in your message. If people are in different time zones, use specific times and check how each choice appears before sharing. An all-day choice is a calendar date, not a time-zone conversion. Do not assume that selecting a day reserves a room or sends a calendar invitation.
Create one date poll

Check the guest view before distributing its participant link. Keep the private host link for yourself, or save the poll to your verified organizer account.
A group message you can adapt
Hi everyone — which dates could work for our next book club? Please mark every date you could attend by [deadline]: [participant link]. We will use our usual [time and place], subject to confirmation. I will confirm the final date here after the deadline. If none work, let me know so I can decide whether to offer another round.
Choose and confirm the date
Review the overlap and make the final selection in the host view. A tie needs an organizer decision; it is not a promise that every member can attend. Share a short confirmation in the same conversation: We are meeting on [date] at [time] in [place]. Bring [book or materials]. Confirm venue availability yourself. Guests can revisit the participant link to see the decision.
Prepare the next occurrence without copying old votes
Use a new poll for the next meeting and review all dates before sharing. Reuse your title and group-message format, but distribute the new participant link. Keep a simple note of the expected next meeting date so you can assess whether the workflow helps over more than one occurrence. Do not treat a copied setup as an automatic recurring invitation.
